Office Manager
SUMMARY: The Office Manager will be responsible for managing the front desk and lobby area, directing incoming calls, and providing a professional welcome to visitors. In addition to administrative tasks such as procurement and internal communications, the Office Manager will participate in customer service initiatives, organize company events and meetings, and contribute to the accounts payable/receivable process.
ESSENTIAL DUTIES AND RESPONSIBILITIES: (includes the following but other duties may be assigned)
- Greet and guide guests who enter the building, as well as answer and transfer phone calls.
- Assist in the distribution of internal company communications.
- Support the accounts receivable/accounts payable process by issuing invoices and processing payables.
- Communicate with customers in a professional and courteous manner, addressing inquiries and providing assistance as needed.
- Organize company travel, events, meetings, and conferences, including scheduling, logistics, and preparation of materials.
- Assist with social media outreach and procurement of promotional items, as needed
- Perform transportation duties such as product pick-up or delivery as required.
- Manage office vendors for janitorial, landscaping, and supplies
- Work with team on various projects that can change depending on business needs
QUALIFICATION REQUIREMENTS:
- High School Diploma or GED equivalent, required.
- Minimum 3 years of experience in an administrative or office manager role.
- Valid driver's license and maintain a clean driving record.
OTHER SKILLS and ABILITIES:
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organizational skills with the ability to multitask and prioritize duties effectively.
- Excellent communication and interpersonal skills, both verbal and written.
- Attention to detail and a high level of accuracy in completing tasks.
